Claim Year Summary

The Claim Year Summary page displays a 'Year at a Glance' summary of the SFA’s claim activity. All months within the selected School Year is displayed along with information regarding the claim status and amounts earned and/or paid under each claim to date.

Claim Month – Click on a Claim Month to create a new claim or access an existing claim. The Claim Month Summary page will display.

Revision Number – The Revision Number of the last SFA claim for the Claim Month will display. Claims that have been processed by VDOE cannot be modified. Therefore, revisions must be created if changes need to be made to processed claims. Each revision will be assigned a sequential revision number. Claims with a Revision Number of ‘1’ are ‘Original Submissions’.

Claim Status – The Claim Status will display the status of the last SFA claim or revision saved for the Claim Month.

Not Submitted – The SFA claim information has been created and may or may not be ready to submit for processing.

Errors – The SFA claim has been entered containing at least 1 Site claim with an error. All errors must be corrected before the claim can be submitted for processing.

OK to Pay – The claim has been submitted to VDOE for processing.

Processed – The claim or current revision has been processed by VDOE for payment.

Month to Date Earned Amount / Amount Processed – The Month to Date Earned Amount column will display the amount due to the SFA under the most recent unpaid claim or revision submitted for the Claim Month. Once the claim has been processed, the earned amount will be moved to the Amount Processed column. If a revised claim is submitted for processing, the Earned Amount column will display the net earned amount (total earned amount for the month, per the revised claim, less any amounts already processed). When the revised claim has been processed, the net Earned Amount will be added to or deducted from the Amount Processed.
